Vendors: The fire regulations have been changed and you will be responsible for the changes.  Please review the following document to ensure that your booth will comply with the new regulations. Food Vendor Regulations

2009 application instructions:

  1. You can now apply through e-mail! Please apply online to save paper!! (but make sure you download all documents to include in your online application - fill them out and email them back to Juliana and Stephanie at : food (at) wef (dot) ucdavis (dot) edu)
  2. If you do not apply online, please download and print all documents bellow and mail them back to us.
  3. Send your application in by February 21st (early) or March 7(late)* No applications will be accepted after March 7th.

Information for Prospective Food Vendors

Because there is no admission fee for attendees, craft and food vendors have long been featured as a way of subsidizing our commitment to bringing speakers, music, educational groups, alternative energy sources, and much more to the UC Davis quad for one amazing spring weekend!

Fees:   

The general food booth fee is $1,000.  This money supports WEF’s goals of education, music and celebration.  The $1,000 fee applies to a standard booth that occupies an area between 10x10 and 10x20 feet. Vendors significantly smaller than 10x10 feet will pay $600. Any booth that requires a space larger than 10x20 feet should expect to pay a double booth fee of $2,000, plus an additional inspection fee per square footage.
Other fees include the $15 non-refundable application fee (or $25 late application fee) and the UC Davis $132 partial inspection fee or $264 full inspection fee. Additionally, a $100 weekend parking (per vehicle) fee will be charged to vendors who must leave a car or truck on the quad (festival location) during the event. Please notify us in advance if you will need an overnight parking permit. If you do not request a permit, it cannot be granted at the time of the festival.
The environmental accountability fee is $250, which will be refunded to you after the festival if you adhere to the guidelines set out by the WEF staff as well as the UC Davis regulations.

We cannot accept personal checks, business checks, or cash - only cashier’s check or online payment (coming soon).

Insurance: 

Be sure to read page 4 of the UC application packet which outlines your insurance requirements as a food vendor. You will be required to show proof of insurance upon acceptance, or to purchase the University plan for $55.68. UCD also enforces an automobile liability requirement of $100,000. If you do not have the proper coverage, you will not get in the gate.  Please send copies of your insurance papers with your completed application.

Please read the application packets carefully and fill it out entirely. The packets are 1) the WEF application (below) and 2) the UC application (packet 2). Answer all questions as thoroughly as possible, attach extra pages if necessary and feel free to provide additional info regarding your business. Read the checklist on the last page of the application before you send it off.

We are always looking for vendors who are making an effort to minimize their environmental impact. Examples of this include the use of recycled/recyclable supplies, as well as following through with recycling. The use of local and organically grown ingredients is a BIG plus! This year we are particularly interested in alternative energy sources, so if you use an alternative energy source in the preparation of your food, let us know!

Between 15 and 20 vendors will be selected. Those not accepted will be placed on a waiting list and will be notified in the event that anyone drops out.
